What are NGO fares?

Airnorth’s Non Government Organisation (NGO) fares are discounted airfares that provide a similar level of flexibility to Airnorth’s fully flexible Air Flex fares.  Airnorth’s NGO airfares are available to NGOs for return Darwin to Dili bookings only.

What is the current rate for the NGO airfares between Darwin and Dili?

Airnorth NGO Fares are available only for bookings made directly with Airnorth Reservations who will provide the current NGO airfare on request to approved NGO’s who have applied and been set up with a profile in our system.

Airnorth’s NGO fare rates are subject to change without notice.

How do we apply for NGO airfares and/or excess baggage waivers?

For NGO airfares:

All accredited / recognised NGOs can apply for NGO airfares between Darwin and Dili by completing the NGO Fare Request Form and by providing adequate evidence of registered / accredited NGO status.

For excess baggage waivers:

All accredited / recognised not-for-profit charities and NGOs travelling from Darwin to Dili that are carrying donations to be distributed in Timor-Leste can apply for a 10kgs excess baggage waiver for Darwin to Dili sectors only by completing the Excess Baggage Waiver Request Form and by providing the required supporting documentation.

Note:  Airnorth’s excess baggage waiver form must be completed with supporting documentation for each trip made by NGO staff regardless of the number of trips made by NGO staff in the same organisation every year.

What type of supporting documentation must be submitted with our application for NGO airfares and/or excess baggage waivers?  

For NGO airfares:

Official documentation validating NGO status must be submitted.  This can include, but is not limited to, a NGO business registration / accreditation certificate, notice of endorsement for charity tax concessions from the Australian Taxation Office or notice of endorsement as an income tax exempt charitable entity from the Australian Taxation Office.

All supporting documentation must be up-to-date and provided in English.

For excess baggage waivers:

A letter on official NGO letterhead validating the passengers’ official NGO status. The letter must state the names of all passengers listed on the Excess Baggage Waiver Request Form, confirming they are official representatives of the NGO and are travelling on official accredited/recognised not-for-profit charity or NGO business.

Only requests accompanied with this required letter will be considered. No exceptions will apply. Travel companions, children or family/friends of the NGO passenger are not eligible to receive this baggage waiver.

All supporting documentation must be up-to-date and provided in English.

How will we be notified that we have been approved for NGO airfares and/or excess baggage waivers?

For NGO airfares:

A confirmation email will be forwarded advising of the profile code.  This profile code will need to be quoted at the time of making NGO bookings (through Airnorth Reservations only) by the authorised NGO staff member/s .  

For excess baggage waivers:

A confirmation email will be forwarded advising that a 10kgs excess baggage waiver has been approved for the listed passengers for the Darwin to Dili sector of their trip.
 
We recommend each volunteer prints a hard copy of their confirmation email and present to the Airnorth Customer Service Officer at the time of check-in for their Darwin to Dili flight.

How do we book NGO airfares?

All NGO airfares can only be booked by contacting Airnorth Reservations on 1800 627 474 (freecall), 08 8920 4001 or via reservations@airnorth.com.au and quoting the NGO profile code.  

The NGO profile can only be utilised by the nominated authorised NGO staff member/s detailed in Section two (2) of the NGO Fare Request Form (see above form download link). This includes, but is not limited to; creating and paying for a booking, making changes to a booking and making changes to the profile. Any requests made by a non-authorised representative will automatically be declined.

Should there be a change in staff during the 12 month period of the NGO profile, then it is the responsibility of the NGO to re-submit Section two (2) the NGO Fare Request Form, including full names & positions of the new authorised representatives. Any changes to the NGO profile must be sent to marketing@airnorth.com.au.

NGO airfares are not available for bookings through the Airnorth website or any other booking avenue, i.e. travel agent or for a Qantas code-share booking.  

Can NGO airfares/profiles be distributed to and booked by a travel agent/agency on behalf of our NGO?

Distribution of Airnorth NGO fares/profile number could result in loss of your NGO status.  NGO fares can only be made directly by the NGO with Airnorth Reservations only and are not to be distributed or booked by any other booking channel or travel agent/agency.

Can NGO airfares be used for both business and leisure travel?

NGO fares are for NGO business use only and not for NGO staff leisure travel.  It is the responsibility of the authorised person to ensure that this condition is met at all times.  A breach of this condition may result in the NGO fare status being forfeited.

Do all bookings made by a NGO obtain a 10kgs excess baggage waiver for the Darwin to Dili sector?

Should an approved NGO applicant make a booking on a non-NGO fare (e.g. an internet fare on the Airnorth website, or through a travel agent, or on a Qantas code share fare) then their NGO status will not be applicable to this booking and they will not receive an automatic baggage waiver.  Any booking of this nature made by the NGO will require the NGO to complete an Excess Baggage Waiver Request Form (see above form download link) for each booking made.

Are we able to obtain an excess baggage waiver for the Dili to Darwin sector?

No, excess baggage waivers are for the Darwin to Dili sector only.  These are for the sole purpose of carrying donations to be distributed in Timor-Leste.  All excess baggage carried by NGOs from Dili to Darwin will be subject to Airnorth’s excess baggage fees.     

Will excess baggage waivers travel on the flight that we have booked?

All excess baggage waivers travel on a standby basis only and are subject to space availability.  No exceptions will apply.
